1. Who We Are and What This Policy Covers
MYC Interactive is a division of MYC Media. The legal entity responsible for the website and the practices described in this policy is MYC Interactive, operating as MYC Interactive (“MYC Interactive,” “we,” “us,” or “our”).
Our website is mycinteractive.com. We provide website development, hosting and maintenance, e-commerce development, application and software development, digital marketing, search engine optimization, social media and email marketing, and data-processing services.
This Privacy Policy explains how we collect, use, disclose, retain and protect personal information when you visit our website, request a quotation, communicate with us, use our accounts or purchase our services.
Section 5 separately explains how we handle information on behalf of our clients. This policy does not replace the privacy notices of independently operated client websites, applications or campaigns.
We handle personal information in accordance with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA), where applicable.
2. Personal Information We Collect
We collect information relevant to your interaction with us and the services requested.
Contact and Quotation Information
When you contact us or request a quotation, we collect the information you provide, which may include your full name, telephone number, email address, company name, project budget, how you heard about us, preferred contact method and project description.
We also retain correspondence and information needed to understand your requirements and respond to your inquiry.
Project, Account and Support Information
When you engage us, we may collect business contact details, billing information, website or domain details, project specifications, approvals, account information, service history and support requests.
Project files may include website content, photographs, documents, databases or other materials containing personal information. Please provide only information you are authorized to share and that is necessary for the work.
Where you use an account or hosting service, we may process account identifiers, authentication records, subscription details and activity logs necessary to administer and protect the service.
Transaction Information
We collect information needed to prepare invoices, process payments and maintain transaction records. Where a payment processor is used, it handles payment information according to the applicable payment arrangements and its privacy notice. We may receive payment confirmations, transaction references and related billing information.
Please do not send complete payment card details, passwords or unnecessary sensitive information through a general contact form or ordinary email.
Technical and Usage Information
Our website and service infrastructure may collect IP addresses, browser and device information, access times, pages requested, referring sources, error reports and security logs. Where analytics or advertising technologies are enabled, additional interactions and identifiers may be collected as described in Section 7.
3. How We Use Personal Information
We use personal information to respond to inquiries, prepare proposals, discuss requirements, schedule meetings and communicate about requested services.
For active clients, we use relevant information to deliver development and marketing projects, administer hosting and maintenance, manage authorized integrations, provide technical support, process invoices and maintain our business relationship.
We also use information to operate and improve our website and services, troubleshoot problems, investigate suspected misuse, protect accounts and systems, maintain necessary records, resolve disputes and meet legal obligations.
Optional promotional communications are handled separately as described in Section 8. We do not treat a request for a quotation as unlimited permission to use your information for unrelated marketing.
4. Consent and Your Choices
We identify the purposes of collection at or before the time we collect personal information and obtain meaningful consent where required.
The appropriate form of consent depends on the sensitivity of the information and the circumstances. We obtain express consent where required, including for sensitive or unexpected uses. We do not make optional uses a condition of receiving a service when they are not necessary to provide it.
You may withdraw consent by contacting us, subject to legal or contractual restrictions and reasonable notice. We will explain any consequences, including where withdrawal prevents us from providing a requested service.
Visiting our website or reading this policy does not, by itself, constitute consent to every use described here.
5. Personal Information We Process for Clients
Our work may involve personal information controlled by a client rather than information collected for our own business purposes. Examples include customer or subscriber lists, website form submissions, e-commerce order records, user accounts, social media messages, campaign reports and data supplied for migration or integration.
When acting as a service provider, we process this information for the agreed services, on the client’s documented instructions and subject to applicable law. We do not use a client’s customer or subscriber database for our own unrelated marketing or another client’s campaigns.
Clients are responsible for identifying the purposes of their activities and providing the notices and obtaining the consents required for their collection and use of personal information. Our service agreements describe the parties’ responsibilities, including permitted access, security, service providers, incident reporting and return or deletion of information. These arrangements do not remove our own legal responsibilities.
For a privacy request concerning a business whose website, application or campaign we support, please contact that business first. You may also contact us, and we will assist with directing or responding to the request as appropriate.
6. Hosting, Maintenance and Access to Client Systems
Where our work requires access to a website, hosting account, database, advertising account or other system, we use that access only for authorized services, security, support and applicable legal requirements.
Depending on the service, this may involve processing hosted website content, databases, mailboxes, server logs, backups and information contained in support materials.
Access is limited to personnel and service providers who need it for their responsibilities. Please use the secure access-sharing method agreed with our team rather than sending passwords through a public form.
Development copies, migration files and backups are subject to access controls and the applicable retention arrangements. The end of a service does not necessarily result in immediate deletion from every backup; relevant retention and deletion arrangements are addressed in our service terms and Section 11.
7. Cookies, Analytics and Other Website Technologies
Our website may use cookies and similar technologies to support website functionality, security, login sessions and preferences. Cookies are small files stored on your device; similar technologies can record interactions without using a traditional cookie.
Where enabled, analytics tools help us understand visits, traffic sources, interactions and performance. Advertising technologies may measure conversions or associate browsing activity with advertising audiences. Embedded maps, videos or social media content may send device and interaction information to the relevant provider when loaded.
[COMPLETE BEFORE PUBLICATION: Identify the analytics, advertising, embedded-content and spam-prevention providers actually used. Describe the information each receives, relevant purposes, cookie durations or retention periods, privacy-policy links and the exact method visitors can use to manage optional tracking. Remove descriptions that do not apply.]
We obtain consent for these activities where required and respect applicable choices. You can also block or delete many cookies through your browser settings, although browser controls do not necessarily cover every tracking technology. Blocking essential cookies may affect login or other functionality.
Declining optional advertising tracking does not prevent you from contacting us for a quotation.
8. Email Marketing and Service Communications
We send promotional electronic messages only with valid consent or another basis permitted by Canada’s Anti-Spam Legislation (CASL). Our promotional messages include the required sender identification and an unsubscribe mechanism.
You may unsubscribe without charge through the message or by contacting us. We action unsubscribe requests within 10 business days.
We may continue to send non-promotional communications needed for a requested quotation, active project, account, invoice or security matter where permitted by law. We do not use service communications to bypass your marketing preferences.
For campaigns managed on behalf of clients, the relevant client’s privacy notice and communication preferences also apply. Personal information used for those campaigns is handled as described in Section 5.
9. How We Share Personal Information
We do not sell or rent personal information or customer contact lists for independent third-party marketing. The service-related and technology-related sharing described in this policy may still occur.
We may provide necessary information to providers of hosting, cloud storage, IT support, cybersecurity, email, project management, payment processing, accounting, development and marketing services. Approved contractors or MYC business units assisting with your project may also need relevant information. This does not authorize unrelated cross-brand marketing.
For providers processing information on our behalf, we limit access to the relevant purpose and use contractual or other appropriate measures to require confidentiality and comparable protection. We remain accountable for personal information under our control.
We may disclose information with your consent or where required or permitted by law, including in response to valid legal process. Information involved in a proposed or completed business sale, merger or restructuring is handled subject to applicable legal requirements and confidentiality safeguards, not as an unrestricted right to transfer it.
10. Processing Outside Canada
Some service providers may store or process personal information outside Canada. While there, information may be subject to local laws and lawful access by courts, law enforcement or government authorities.
We remain responsible for information transferred for processing on our behalf and take appropriate measures to protect it. Contact us for information about cross-border processing relevant to your information or service.
Any agreed data-location requirements for a client project must be addressed in the applicable service agreement.
11. How Long We Retain Information
We retain personal information only as long as necessary for the identified purposes or applicable legal requirements.
Retention depends on the record. Inquiries and correspondence support quotations and service relationships; project files support delivery and agreed ongoing work; billing records support accounting obligations; and logs support security and troubleshooting. Disputes or legal holds may require specific records to be retained longer.
Client-controlled information follows the relevant service agreement, the client’s lawful instructions and applicable law. Backups follow the applicable backup-retention cycle and are not kept indefinitely merely because information once appeared in a system.
When information is no longer needed, we take appropriate steps to securely delete, destroy or effectively anonymize it. We may retain limited unsubscribe records to ensure that we continue to respect your communication preferences.
12. Security and Privacy Incidents
We use administrative, technical and physical safeguards appropriate to the sensitivity of the information, including appropriate access restrictions, authentication, system protections and secure handling practices. No electronic transmission or storage system can be guaranteed completely secure.
If a privacy incident occurs, we investigate, contain it where possible, assess the information and potential harm involved, and take corrective action.
Where PIPEDA applies, we keep records of all breaches of security safeguards involving personal information under our control. Where a breach creates a real risk of significant harm, we report it to the Privacy Commissioner of Canada and notify affected individuals as soon as feasible. We meet other applicable notification requirements as well.
For incidents involving client-controlled information, we notify and cooperate with the relevant client in accordance with applicable law and our service agreement.
13. Access, Correction and Other Privacy Requests
You may request access to personal information we hold about you, information about its use and disclosure, and correction of inaccurate or incomplete information.
We may verify your identity using information proportionate to the request. Where PIPEDA applies, we respond to access requests within 30 days, subject to legally permitted extensions and required notice. Access is provided at minimal or no cost, with advance notice of any applicable charge.
Where access is restricted by law, we explain the reasons and available complaint options, subject to applicable restrictions. Examples may include another person’s personal information or legally privileged information.
You may also request deletion or withdraw consent. These requests are subject to applicable law; some information may need to be retained for outstanding services, legal obligations or disputes. We explain relevant limitations rather than promising an unconditional right to erase every record.
14. Public Content, Testimonials and Project Examples
Information you authorize us to publish, such as an identified testimonial, staff biography, photograph or case study, may become publicly accessible.
We obtain appropriate permission before publishing personal information in our own promotional materials. Providing materials for a client project does not automatically authorize unrelated promotional use by MYC Interactive.
Please contact us with concerns about personal information appearing in our published content. For content published on a client’s website, we will coordinate with the responsible client as appropriate.
15. Third-Party Websites and Platforms
Our website and services may link to or integrate with independently operated websites and platforms. Their handling of information is governed by their own notices and applicable law.
Review the relevant privacy notice before supplying personal information directly to another service. This does not remove our responsibility for information processed by providers on our behalf.
16. Children’s Privacy
Our website and business services are not directed at children. We do not knowingly collect children’s personal information through our own website without appropriate consent.
Please contact us if you believe a child has provided information without appropriate consent. We will investigate and take appropriate action. Any client service involving children’s information requires suitable arrangements for that service.
17. Changes to This Privacy Policy
We may update this policy when our services, technology, privacy practices or legal requirements change. We will revise the Last Updated date when changes are published.
For material changes, we provide additional notice where appropriate and obtain fresh consent where required before using personal information for a new purpose. An updated policy does not, by itself, authorize an incompatible new use of previously collected information.
